Virtual Booth Features
1. Virtual Exhibit Booth
Each virtual exhibit booth gets a separate profile to house your information as noted below. Attendees will be able to navigate to your booth by your name and logo, product or services categories, and through the virtual floorplan.
2. Booth Profile
Your booth profile can be customized by utilizing the features offered. Each profile includes your bio, contact information, and logo.
3. Booth Banner
You can display a horizontal banner across the top edge/header of your virtual exhibit booth to make it stand out more. You can use this space to feature your company name and logo, or highlight a product, service, program, etc.
4. Categories
You will be able to choose up to 6 categories in the list of 'Company Categories' that will display in your virtual exhibit booth. This will also be helpful when attendees want to search all exhibitors by a certain category to find a specific product or service.
5. Web Links
You can add up to three web links for attendees to click on in your virtual exhibit booth.
6. PDF Links
You can add up to three PDF documents to share with attendees in your virtual booth (i.e. product information, flyer, paper, etc.).
7. Video Chat with Attendees
You have up to four representatives, each with their own video chat, who can engage with attendees. A video chat is a virtual face-to-face interaction between two or more people. The exhibitor will have the ability to choose how many people they want to allow in each video chat, whether it be a 1-on-1 conversation or open to up to 15 attendees at a time. You can use the video chat as a mechanism to answer questions, engage in discussions, or provide information. You can utilize other features in the booth (i.e. bio, banner ad, PDF, etc.) in order to drive traffic to your video chats (i.e. promote a time when a specific discussion topic or expert will be available in your video chat to encourage them to stop by).
8. Scavenger Hunt
Attendees may take part in a Scavenger Hunt Game to win prizes. You can take part in the Scavenger Hunt by coming up with and adding a question in your virtual booth. The attendees would need to come to your booth and correctly answer your question to receive points, which then get added to a Leader Board.
9. Giveaway Button
You can choose to have a giveaway at your booth, similar to what would be done in-person if you were to collect attendee 'business cards' and then choose a winner at the end of the conference. The giveaway button is a customizable button at the bottom of the virtual booth that attendees can click to go to a commercial "giveaway" page of the exhibitors' choosing (i.e. fill out a form, complete a survey, watch a video and then enter your info, etc. for a chance to win). Each exhibitor is responsible for managing their own giveaway process.
10. Lead Retrieval
You will have the ability to obtain reports for attendee impression tracking. You will be able to see who visited your booth, as well as who engaged with other elements inside your booth such as clicking on the PDF's. Additionally, there is also a Request Information button that attendees can click on to contact you and share their information and questions.

11. Guide: How to Engage with Virtual Exhibits
The AAFP will be developing information, resources, and recommendations to help encourage attendees to visit exhibits. This may include ideas such as "walk the exhibit hall with a colleague." We know onsite many attendees find their friends or colleagues and then visit booths. Attendees can plan to visit video chats at specific times with colleagues to interact, ask questions, or even allow for a practice to have their whole team find out information about a product or service they want to purchase. More is being developed to encourage engagement with you.
12. Promotion of Giveaways and Show Specials
In order to drive more traffic to your booth we will be promoting all giveaways and show specials to our attendees that are submitted to us by August 28th. Attendees will be able to browse promoted offerings to help plan their exhibit hall tour.
13. Raffle Passport
Yes, the trusty raffle passport is back – just in a virtual setting. Attendees can track their progress and after they visit a specific quantity of booths and engage in a number of video chats, they will be eligible to win many prizes.
You can decide how much you want to participate and which features you'd like to use.
Upgrades
1. Video
You are able to upload a video that will display in your virtual exhibit booth. The file size of the video cannot exceed 250 MB. Email exhibitor@catvets.com for more information.
2. Educational CE Session
There are a limited number of opportunities to sponsor a CE session which are on a first come, first served basis. You choose the topic and speaker which will need to be approved by the Conference Task Force. The topic does not need to align with the Head and Neck theme of the conference. This is your opportunity to get a specific topic in front of the AAFP community which will be available for 3 months of viewing. Your exhibit booth will also contain a link to a sponsored session where attendees can click on it to take them directly to the session. Sponsors are also acknowledged with virtual signage and a sponsor ribbon in your booth. The session will include your logo as well.
Cost: $1,500
3. Product Showcase
Feature and highlight your product outside of the exhibit hall in our Product Showcase area. You will be able to include a product description, image, video, PDF, website link and other information.
Cost: $250
4. Program Book Ad
We will still be offering our Online Program Book so attendees can plan their learning. The Program Book will be utilized as it contains the full educational information such as agendas, session abstracts, and speaker bios. It will also feature a "Roadmap to the Virtual Conference" and explain technology features, ways to engage, and convey how to make the most of the conference experience. Advertise today!
